Products, tuition, and charge structure
In Skolar, products and tuition fees form the base of the school charging model. Products usually represent isolated or catalog items, while tuition fees connect recurring charges to school periods and enrollments.
What is the difference between products and tuition fees
- products usually represent standalone concepts or purchasable items
- tuition fees generate charges tied to school periods and installment plans
- both later affect invoices, receipts, and debt follow-up
What to review before creating charges
Make sure:
- the right school year and school term are selected
- the installment count matches your school model
- you know whether the concept is an enrollment fee or recurring tuition
- the education level already exists with the correct prefix
Products
From admin you can:
- search existing products
- create new products
- review where a product has been used in invoices or purchases
- edit it while there are no conflicting registered purchases
- discontinue it when it should no longer be used
Tuition and recurring charges
Tuition fees in Skolar are built from information such as:
- school year
- school term code
- education level
- charge type
- price
- number of installments
- due date
If automatic creation is enabled for monthly tuition, Skolar generates multiple fees and distributes them by month, adjusting dates when they fall on weekends.
Recommended workflow
- Define the right school year, school term, and education level first.
- Create or review the product if the concept does not exist yet.
- Configure the tuition fee with price, due date, and charge type.
- Decide whether the system should create one charge or multiple installments.
- Review the association with school terms before communicating the charge.
Common issues
I cannot edit a product
This usually happens because invoices or purchases already depend on that product.
The tuition fee was linked to the wrong term
Review the school year and school term code used during creation. Changing it later can affect already published charges.
The wrong number of installments was created
Confirm whether automatic creation was enabled and whether the installment count matches the intended billing plan.
